What is a digital mailroom?

A digital mailroom allows your employees to work from anywhere and still receive their inbound paper mail, electronically. That means we handle the opening, scanning, and sending of the electronic version of the mail to the right people. Sensitive documents are handled separately, as you wish. A digital mailroom provides the convenience and security that our modern world and our work-from-home culture need.

How it works

  • First step is mapping the hardcopy mail process, then developing a workflow for how mail would be sorted, scanned and delivered  
  • Mail is rerouted to EO Johnson's Document Scanning Department where the sorting begins
  • Mail sorting can be customized to your organization's unique needs, some will be scanned and other confidential and sensitive documents will not be scanned
  • Mail that is scanned is opened and further sorted based on the envelope contents, pages are unfolded, staples are removed and the scanning process begins
  • Quality control ensures blank pages are eliminated and pages are properly rotated and that all images are of the highest quality
  • The data is exported and immediately uploaded via secure FTP, directly into the customer's server where it can then be and routed to the proper recipient
